Event operations, one destination at a time

Event QR Code Generator for Registration and Check-in Links

Turn an existing registration, RSVP, ticket, check-in, or calendar destination into a scannable QR code. ZapQR creates the code in your browser; your event platform remains responsible for attendee records, admission, and verified check-ins.

Anonymous static QR generator

Create the QR code for one event action

ZapQR encodes the destination. Registration, ticket validation, and verified check-in stay in the platform that owns those records.

Your event QR preview will appear here

Enter the required event details and a valid destination. The QR content is created locally in this browser.

01 · Destination map

Choose the destination your guests need

Each code should open one clear next step. Select the mode that matches the destination you already use, then label the finished code for that action.

Registration / RSVP Link

Send guests to an existing signup form, wedding RSVP page, or invitation site. That service collects responses and manages capacity.

Add to Calendar

Create a standard VEVENT payload with the event name, date, time, location, and description. The receiving calendar app controls the import.

Ticket Link

Encode a ticket or confirmation URL supplied by your ticketing system. ZapQR does not issue, authenticate, revoke, or validate tickets.

Check-in Link

Open an existing check-in page or venue workflow. A scan opens the destination; the connected platform must confirm and record the check-in.

02 · Responsibility boundary

Keep the QR layer separate from the event system

The QR image transports a URL or calendar payload to a guest’s device. Operational records remain in the organizer’s registration, ticketing, form, or access-control system.

ZapQR handles

  • Encoding one organizer-provided URL or a standard calendar event.
  • Rendering a live preview with the existing design and export controls.
  • Creating a static PNG, JPG, or SVG file without an account.
  • Keeping the event URL and calendar text out of analytics events.

Your event platform handles

  • RSVP submissions, capacity, waitlists, confirmations, and reminders.
  • Ticket creation, identity checks, admission, refunds, and revocation.
  • Verified check-in status, attendance records, and reporting.
  • Permissions, data retention, security, and privacy notices.

03 · Real placements

Event workflows that need a focused QR destination

A registration poster, a private ticket, and an entrance sign serve different decisions. Give each placement the destination and label that match its purpose.

Conference registration

Link campaign pages, partner flyers, and venue signage directly to the official mobile signup form. Complete a test registration before publishing.

Wedding and private-event RSVP

Place the code on an invitation or information card. Keep guest counts, meal choices, accessibility notes, and contact details inside the RSVP service.

Existing ticket delivery

Use a ticket-link code only when the ticketing platform already supplies a valid destination. Keep unique ticket URLs in private messages or individual tickets.

Venue and session entry

Open the venue’s existing check-in form or staff workflow. Train staff to look for the platform’s confirmation instead of treating a scan as proof.

Add-to-calendar prompts

Place a calendar code on confirmations or schedules. Verify the local date, time, location, and imported result on common phone calendars.

Post-event surveys

Point a link mode at a feedback form, state the closing date, and remove the sign when collection ends. Responses stay with the form provider.

04 · Launch control

Operational checks before the QR code goes live

Treat the exported file as part of the event runbook. A clear-looking code still fails when its destination, permissions, or on-site process is wrong.

  1. Confirm ownership

Name the person who owns the destination and can correct it during the event. Avoid links tied to an account that may lose access.

  2. Test the exact destination

Scan the downloaded PNG or SVG from a second device and complete a test registration, ticket, calendar, or check-in flow.

  3. Check placement and size

Use strong contrast, keep the quiet zone, and test at the real viewing distance. Avoid folds, glare, movement, and decorative patterns.

  4. Prepare a fallback

Display a readable short URL or provide staff assistance. Plan for weak connectivity, low battery, camera restrictions, and accessibility needs.

  5. Control sensitive links

Treat unique ticket and confirmation URLs like credentials. Send them privately and follow the platform’s replacement process if exposed.

05 · Scale and change

When one static QR code is not enough

Create up to 1,000 static QR codes in a batch

Organizers with a spreadsheet of unique attendee or ticket URLs can create up to 1,000 static QR codes in one batch. The source URLs and identity mapping still come from the organizer’s system.

Event QR Code Questions

Can ZapQR collect event registrations or RSVPs?

The Registration / RSVP mode encodes the absolute URL of your existing form or event page. Submissions, capacity rules, emails, and attendee records remain in that service.

Does scanning a check-in QR code prove attendance?

A scan only opens the destination. Verified attendance requires the connected platform to identify the guest, accept the action, apply its rules, and save a successful record.

Can I use an Eventbrite link?

You may encode an organizer-provided Eventbrite URL that works in a browser. ZapQR has no Eventbrite API integration or synchronization and does not replace its event workflow.

Can ZapQR create or validate event tickets?

Ticket Link mode converts an existing ticket or confirmation URL into a QR code. Issuance, uniqueness, validity, admission, refunds, and revocation belong to the ticketing platform.

What information is stored when I create the code?

The static tool builds QR content in your browser. It does not place the event URL or calendar text in the page URL, analytics payloads, browser storage, logs, or a server request.

Should a unique ticket QR code appear on a public sign?

Keep individualized codes on private tickets or messages. Anyone who photographs or decodes a unique ticket URL may be able to reuse it, subject to the platform’s controls.

What should I test before printing?

Scan the exported file on multiple phones, test mobile data and venue WiFi, complete the destination workflow, verify calendar details, and confirm staff understand the successful platform state.
